Working with the Faculty Staff Directory

Weblion's FacultyStaffDirectory Product can produce contact information for Faculty, Staff, and Students. You can assign individuals various Classifications, Committee/Department membership and Specialties.

Overview

This feature will allow you to add a FacultyStaffDirectory (FSD) folder to your site.   This folder can hold 'Person' objects, 'Classification' objects, 'Committee' objects or 'Specialty' objects.  These objects allow you to display personnel in various ways automatically.

Defining Main Classifications

FSD provides three main Classifications on installation: Faculty, Staff, and Graduate Student.  You can add any number of Classifications to your directory by navigating to the FSD folder Add Item-->Classification.   Provide a title. You can add Persons objects to the classification at any time.  A Person can appear in more than one category. When you access the FSD, persons in your directory will be listed in alphabetical order within each Classification.  You can  change the order of the Classifications by going into folder view for the FSD and arranging the Classification objects. 

Defining Committees

Committee objects offer another way to group Persons.  A Person can belong to any number of Committes and have a role [e.g. 'Chair', 'Head'] in that committee.  The Gerontology Center website is using the Committee object to group Persons by academic department.  Committees have:

Title:
Name of the Committee.  Default display: Navigation; Person page title; Committee folder listing; Committee page.
Description:
A brief text-only description. Default display: On mouse-over in navigation;Committee folder listing; Committee page. 
Body Text:
A detailed description, can include links and images. Default display: Committee page. 
Members:
Select Persons.  After adding a person, you will see a link "Assign a role".  This is optional. Default display: Committee page.

Defining Specialties

You can define any number of categories of specialty.  These could be research interests or skills.  Any specialty can have multiple sub-specialties.  Define the specialties under the main FacultyStaffDirectory folder.  You can assign Persons to the Specialty in the Specialty's Edit view or within a Person's edit view (see below).
Title:
Topic name. 
Description:
Brief text-only description of the topic
Body Text:
Detailed description of the specialty, can include links and images.
 
People:
Select  Persons.  After adding a person, you will see a link to "Assign a research topic". This is optional and can include the name of a grant or research theme, etc. 


Adding a Person 

Navigate to the FacultyStaff directory folder. From the Add to Folder menu, select Person.  There are 3 screens containing personal information for you to use Basic, Contact, Professional.  Only the first 3 fields on the Basic form are required: Access ID, First Name, Last Name.  [NOTE: If you have information that you do not want visible to the general public, you can ask your site administrator to block fields from appearing.]

Basic Field Descriptions

Access Account ID: 
Supply the person's PSU access account ID.  If they are not a PSU affiliate, you can construct your own ID, just be sure that it is unique.
First Name:
First name followed optionally by a middle name or initial.  Default display: Navigation; Person page title; Classifcation, Specialty and  Committee listings.
Last Name:
-Default display: Navigation; Person page title; Classifcation, Specialty and Committee listings.
Suffix:
A string containing degrees or xxxx.  It will appear after the Last Name separated by a comma. Default display: Navigation, Person page title, Classifcation, Specialty, Committee listings.
Classification:
Select any number of top-level classification.  Persons can be in more than one classification group.  Default display: The Faculty Staff folder view lists all Persons in alphbetic order under each Classification.

Job Titles:
You can list any number of titles as a string e.g. "Director, Center for Research".  Start each title on a new line.
Biography:
Enter text using the editor.  
Education:
You can list all educational information as a string  e.g. "1980, Indiana University, PhD".  Start each entry on a new line.
Websites:
Enter complete urls e.g. "http://www.psu.edu/directory/abc123".  Start each url on a new line.
Specialties:
Select any number of pre-defined specialty areas.    [Use your browser's multiple selection keys]
